Grant Payments Terms & Conditions

Grants can only be used for the expenses listed on the approved project budget included with the grant agreement. Any changes to the scope of work, project budget, period of performance or Project Leader must be approved. Change requests must be sent to the IEEE Foundation office at foundation-office@ieee.org

Grant payments terms & conditions vary depending upon the length of the grant as follows:

APPROVED GRANTS THAT ARE TWELVE MONTHS OR LESS IN DURATION

An initial payment of 50% shall be paid after the Grantee provides a completed US IRS Form W-8 (for non-US recipients) or Form W-9 (for US recipients). The remaining 50% shall be paid after the Grant Final Report with financial statement is submitted and accepted.

APPROVED GRANTS THAT ARE LONGER THAN TWELVE MONTHS IN DURATION

An initial payment of 20% shall be paid after the after the Grantee provides a completed US IRS Form W-8 (for non-US recipients) or Form W-9 (for US recipients). Interim payments not exceeding 20% of the grant amount will be paid after the Grant Status Report(s) with financial statement is submitted and accepted. Interim payments greater than 20% may be paid if proof of expenditure is submitted. At no time shall the combined interim payments exceed 60% of the grant. The final 20% shall be paid after the Grant Final Report with financial statement is submitted and accepted.

US IRS Forms

The United States Internal Revenue Service requires that all grant recipients provide either a Form W-8 or Form W-9 before any grant payment is made. After receiving official notice that your grant has been approved, complete the appropriate form and send it to the IEEE Foundation office at g.gotthardt@ieee.org. Include your grant identification number and name on all documents and correspondence sent to the IEEE Foundation office.

NOTE: IEEE Sections, Student Branches and other organizational units are not required to complete a Form W-8 or Form W-9.
